By registering for and using our AI Email Agent dashboard, and/or visiting our Sites, you acknowledge and consent to the practices described in this Privacy Policy. When you register and log in to the AI Email Agent dashboard, we collect personal information including your name, email address, and any other information you provide during registration or use of the dashboard.

Usage Data:
We also collect information about your use of the dashboard and Sites, including IP address, browser type, pages visited, and interactions with the AI Email Agent.

2a. Google OAuth and Gmail Data Usage

To provide the AI Email Agent service, we integrate with your Google Gmail account using Google OAuth. This integration requires your explicit authorization to access certain Gmail data. The scopes requested are:

• https://www.googleapis.com/auth/gmail.readonly - to read your inbound emails in order to analyze and identify messages requiring AI-generated responses.
• https://www.googleapis.com/auth/gmail.send - to send email responses on your behalf through the AI Email Agent.

Use of Gmail Data:
We use the accessed Gmail data solely to provide and improve the AI Email Agent's email automation features. Your emails are analyzed in real-time by our AI to generate appropriate replies. We do not store your email content beyond what is necessary for service functionality, and we do not share, sell, or disclose your email data to any third parties outside of the service scope.

You can revoke Google OAuth permissions at any time via your Google Account settings or by contacting us.

2b. Microsoft Sign-In (OAuth 2.0) and Microsoft Graph Data Usage

To provide the AI Email Agent service for Microsoft 365/Outlook users, we integrate with Microsoft's identity platform (OAuth 2.0) and Microsoft Graph. This integration requires your explicit authorization to access certain data. The delegated permission scopes requested are:

• User.Read - to sign you in and read your basic profile.
• offline_access - to maintain access (refresh tokens) so the service can run reliably until you revoke consent.
• Mail.Read - to read inbound emails in order to analyze and identify messages requiring AI-generated responses.
• Mail.Send - to send email responses on your behalf through the AI Email Agent.

Use of Microsoft Graph Data:

We use the accessed Microsoft data solely to provide and improve the AI Email Agent's email automation features. Email content is processed in real time to generate appropriate replies. We do not store email content beyond what is necessary for service functionality, and we do not sell, share, or disclose your Microsoft data to third parties outside the scope of the service.

Revoking Access:

• For Work/School (Microsoft Entra ID) accounts via: https://myaccount.microsoft.com/consents
• For Personal Microsoft accounts via: https://account.microsoft.com/privacy/app-access

Revocation may affect AI Email Agent functionality.

2c. Other Email Providers and Integrations

In addition to Google and Microsoft accounts, the AI Email Agent may support integration with other third-party email providers (such as Yahoo Mail, Zoho Mail, or IMAP/SMTP-based services). Where such integrations are available, we will request only the minimum permissions necessary to enable core email automation features: reading inbound messages, generating responses, and sending outbound replies.

Use of Other Email Provider Data:

We use the accessed email data solely to provide and improve the AI Email Agent's features. Email content is processed in real time to generate responses and is not stored beyond what is necessary for the functionality of the service. We do not sell, share, or disclose this data to third parties outside the scope of the service.

Revoking Access:

You may revoke access at any time through your respective email provider's account settings. Instructions vary by provider, and we encourage you to review your provider's documentation on managing third-party app access.

3. How We Use Your Information

We use the information collected to:

• Operate, maintain, and improve the AI Email Agent dashboard and Sites.
• Provide customer support and respond to inquiries.
• Personalize your experience on the dashboard and Sites.
• Send you relevant communications, including service updates and promotional offers (where you have consented).
• Comply with legal obligations.

4. Data Sharing and Disclosure

We do not sell or rent your personal information. We may share or disclose your information in the following circumstances:

• Service Providers & Partners:
  With trusted third-party service providers, contractors, and agents who perform services on our behalf (e.g., hosting, data storage, analytics), under strict confidentiality agreements.
• Legal Compliance:
  To comply with applicable laws, regulations, subpoenas, legal processes, or enforceable governmental requests.
• Protection of Rights:

We retain your personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce agreements.

• Gmail Data: Email content accessed via Gmail integration is processed in real-time and not stored beyond what is necessary for providing the service.
• Microsoft Outlook/Exchange Data: Email content accessed via Microsoft Graph is processed in real-time and not stored beyond what is necessary for providing the service.
• Other Email Providers: Where integrations exist, email content is processed in real-time and not stored beyond what is necessary for providing the service.
• Account Data: If you delete your account, we will delete or anonymize your personal information within a reasonable timeframe unless retention is required by law.
• User Requests: You may request deletion of your data at any time by contacting us. We will process deletion requests promptly in accordance with applicable laws and regulations.

If you revoke Google, Microsoft, or other provider permissions, we will remove associated tokens and any cached data tied to those permissions within a reasonable timeframe (typically within 30 days), subject to legal retention requirements.

6a. Compliance with Google API Services User Data Policy

Our use of information obtained from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

• We only access, use, and store Gmail data to provide the core functionality of the AI Email Agent service.
• We do not use Gmail data for advertising purposes.
• We do not allow human access to Gmail data unless:
• You provide explicit consent for specific cases,
• It is required for security, fraud prevention, or to comply with applicable law, or
• It is necessary for the internal operations of the service and only when aggregated and anonymized.

6b. Compliance with Microsoft APIs Terms of Use and Microsoft Graph Permissions

Our use of Microsoft APIs and Microsoft Graph adheres to Microsoft's APIs Terms of Use and the Microsoft identity platform permissions mode

• We request only the minimum delegated permissions necessary for user-facing features and use incremental consent where appropriate.
• We do not request tenant-wide application permissions for the AI Email Agent.
• We do not use Microsoft data for advertising or profiling unrelated to the service.

6c. Compliance with Other Email Provider Policies and Terms of Use

Where the AI Email Agent integrates with additional third-party email providers, our use of data obtained through those integrations complies with the respective provider's API policies, terms of service, and developer guidelines.

• We request only the minimum permissions required to enable core features (such as reading inbound emails and sending replies).
• We do not use data obtained from these providers for advertising, profiling, or unrelated purposes.
• We follow each provider's published requirements on limited use, revocation, and data handling practices.
• Users may revoke our access at any time through their provider's account security or app access management settings.

7. Security of Information

We implement physical, technical, and administrative safeguards to protect your personal information against unauthorized access, disclosure, or destruction. Access to your information is restricted to authorized personnel on a need-to-know basis.

8. Cookies and Tracking
